CONDITIONS FOR APPLYING
This document is for families who have already completed the Registration Form and have been added to the Lerntree waiting list and are now being offered a trial for their child. This application form is for one child. For families registering more than one child please, fill in one form per child.

ARRIVAL/DEPARTURE
Lerntree operates on Mondays and Tuesdays 33 weeks a year. Based at Growers Row at Rutland Showground in Oakham and in the community. Monday opening hours at Growers Row are from 9.30am to 3.30pm. We ask families to arrive by 9.30am to respect the day's rhythm and to pick up their children punctually.

QUALIFICATIONS
It is the responsibility of each child to choose their own educational path. Children at Lerntree are not required to sit exams or follow the National Curriculum.

TRIAL PERIOD
Lerntree offers a trial period of 4 consecutive weeks. For children, the trial period is an opportunity to get a feel for the learning environment and make an informed choice about whether Lerntree is right for them. For us, it is a chance to see if the child will be able to fit into Lerntree life. If any party considers Lerntree or the child an unsuitable match, our mutual commitment ends there. If, however, Lerntree, the family and the child appear to be a good match, then our mutual commitment can continue. At the end of the trial period, we meet with the family to share our respective experiences.

You will receive an invoice for the trial period.

AGREEMENT ON FINANCIAL MATTERS

DEPOSIT TRANSFER
A deposit of £200 is required for each Application Form due one week after receiving the confirmation for a placement. If you decide to cancel the process before or during the trial period, the deposit will not be refunded. If the trial period results in your child continuing to take the place at Lerntree, the deposit will be deducted from the first term payment.
Invoices and payment details will be emailed to you directly.

TERM FEES
The annual fee to be paid for a child attending one and a half days a week is currently £1,980. The annual base fee is calculated yearly and adapted accordingly.

The annual fee is split into three equal payments - the term fees. Each payment is due before the term starts and needs to be made at the latest five working days before the start of the term. In the case of a half-term start, then 50% of the term fees are due five working days before the start of the 2nd half-term. Fees are non-refundable.

After a successful trial, the remaining weeks of the term will be invoiced separately.

CANCELLATION POLICY
After a successful trial period (that which ends with a mutual commitment to continue), a rolling contract with a one-term notice period comes into effect. Written notice of the removal of a child must be received by [email protected] before the first day of term at the end of which it is to take effect. In the absence of proper notice the fee for the following term must be paid. Example: If a family does not wish to attend the Spring Term, the last date to inform us is the day before the Winter Term starts.

Both sides are entitled to stop the Trial at any time for valid reasons. A cancellation by Root-and-Branch Out will result in a proportional refund of the unused weeks. However, there is no refund for a trial period that was cancelled by the parents.

GDPR AND PHOTO CONSENT

At Root-and-Branch Out CIC, we take your privacy seriously and will only use your personal information to manage your account and provide tailored care to your child.

PHOTO AND FILM CONSENT
Photos and film enable us to showcase what we do at Lerntree. We photograph and film to document work and projects for individuals and the group and to show what life at Lerntree is like to others. Photos and film will be used in the prospectus, on the website and in media such as local newspapers, Facebook and Instagram.

We would like your consent to take photos of your child and use them in the ways described above. If you’re not happy for us to do this, we are happy to accommodate your preferences.

The staff at Lerntree will inform parents/guardians when we plan to go on excursions outside the local area. Please note that trips will be democratically decided with the children, and trips within the local area may take place spontaneously.
